Office Coordinator

Job description

We’re looking for an Office Coordinator to join our team in Vilnius. You will be integral in building up the culture and operations of this office. You’ll be learning new things and tackling new projects each day. You must be able to thrive in an ever-changing and sometimes chaotic environment. If you excel at organization, have strong problem solving abilities, and care deeply about solving people-centric problems, then keep reading.

Your main role will be working closely with and supporting the Internal Operations (IO) team in Vilnius. You’ll be the on-the-ground support for many teams and will work closely with your counterparts in other offices. Some of the teams you’ll be working closely with include:
  • The Internal Solutions (IS) team. The IS team provides administrative support for our offices. They improve the day-to-day people and process operations of the office. Think creating a welcoming front desk environment, ordering supplies, scaling a travel program, implementing wellness activities, and more.
  • The Culture & Community team. We’re talking employee experience, building a culture of community, office-wide events, internal communications and more.
  • The Internal Operations (IO) teams, like Real Estate, Culinary, AV, Broadcast, Network, Physical Security, and IT. You’ll be their eyes on the ground, and support their projects where possible.


  • Super organizational skills and an attention to detail
  • A friendly and optimistic attitude with great communication skills
  • The ability to multi-task and adapt to new situations
  • The ability to liaise with many different external and internal stakeholders and team members
  • Confidence starting and taking over projects that you haven’t necessarily had experience with before
  • Experience building up office culture through relationship building and creative problem solving
  • Fluency in English and Lithuanian

It’d be nice if you had experience in one or more of these things:
  • Improving efficiency and productivity in an office
  • Event planning and logistics
  • Facilities operations in an office environment
  • Managing tech or IT support in an office environment
