Who we are
The British Embassy in Vilnius is part of a world‑wide network, representing British political, economic and consular interests overseas. We are now looking for an Executive Assistant to the Ambassador (HMA) to join our team in Vilnius.
This is an exciting opportunity for an enthusiastic and proactive self-starter to gain direct exposure to the world of international diplomacy. As Executive Assistant to the Ambassador (HMA), you will play a pivotal role in strengthening the UK–Lithuania bilateral relationship by ensuring the Ambassador is supported efficiently and effectively in a fast-paced Embassy environment.

You will work closely with colleagues across all teams to ensure that the Ambassador is fully prepared, well-briefed, and able to engage effectively at the highest levels.
Key Responsibilities
Support to His Majesty’s Ambassador (HMA)
- Manage and oversee HMA’s diary, ensuring effective prioritisation, efficient scheduling, and forward planning
- Ensure HMA is fully prepared for engagements by coordinating briefings and key materials in advance
- Organise meetings and events for HMA, including breakfasts, lunches, dinners, receptions, and official engagements
- Plan and coordinate cost-effective and efficient transport arrangements
- Commission and coordinate briefing packs and speech notes from relevant teams
- Manage HMA’s correspondence, filtering mail and invitations
- Liaise with policy teams to recommend acceptance or decline of invitations, providing clear justifications
Events & Visits
- Support delivery of a wide range of events and visits, from small Residence engagements to large-scale Embassy events
- Work with the Residence and Events Manager to coordinate flagship events, including:
- Assist with logistics and engagement planning for regional visits and incoming senior visitors
Administrative & Secretariat Support
- Draft, format and issue formal correspondence on behalf of HMA, including Note Verbales and Ministerial letters
- Act as Secretariat for selected HMA-chaired meetings (agenda setting, note-taking, follow-up actions)
- Provide broader administrative support across the Embassy, including corporate tasks, internal meeting coordination and event logistics
- Provide occasional PA support to the Deputy Head of Mission, including diary management and visit coordination
Collaboration & Stakeholder Engagement
- Liaise confidently with senior internal and external stakeholders on behalf of HMA
- Work closely with policy, corporate, defence, and other Embassy teams to coordinate activity
- Ensure a high standard of customer service and professionalism in all interactions

Qualifications, skills and experience

Our ideal candidate shows:
- Full professional proficiency in English and Lithuanian (written and spoken; at least C1 under the CEFR framework*)
- Highly organised with a keen attention to detail
- Proven ability to prioritise, effectively manage and execute multiple and competing tasks within tight deadlines
- Strong interpersonal skills
- Ability to work effectively within a team
- Positive, open and flexible approach
- Strong IT skills, in particular Microsoft Outlook, Teams, Excel & Word
- Willingness and ability to review, develop and improve existing systems

DESIRABLE QUALIFICATIONS, SKILLS AND EXPERIENCE

- Previous experience in a similar support role
- Experience in events management

This is a full-time 35 net hours per week, permanent contract, AO grade position.
Some flexible working can be considered but, given the requirements of this position, office-based working will be expected most of the time.
The start date for the position is as soon as possible, subject to the availability of the candidate and the length of the recruitment process.
