About the position:

The purpose of this position is to ensure that the school operates smoothly on a daily basis, and that teachers can focus on the education of children. This is one of the most important administrative links, connecting educational, administrative and organizational processes. This position provides an opportunity to grow with the organization, participate in strategic projects and contribute to the development of one of the most advanced private schools in Lithuania.

Main responsibilities:

  • coordinate daily administrative processes ensuring smooth organization of education;
  • cooperate with the school principal and deputy principals in implementing daily decisions for education;
  • coordinate the preparation of new employees and students to start their activities at the school;
  • organize administrative processes related to the preparation of educational materials, textbooks and learning environment;
  • organize school office activities and document management processes;
  • administer student admission, transfer, departure and education documentation;
  • ensure the accuracy and timely updating of data in the Student Register and the Pedagogical Register;
  • coordinate the provision of data to the Education Management Information System (ŠVIS) and other state information systems;
  • coordinate the preparation of orders, certificates, progress reports, extracts and other official documents;
  • ensure timely submission of information and documents to the National Education Agency, the Ministry of Education, Science and Sports, the municipality and other institutions;
  • ensure proper registration, archiving and storage of school documents;
  • coordinate the administration of employment contracts, personnel files and other employee documents, organize administrative processes for the admission of new employees;
  • monitor the validity of mandatory health checks, hygiene, first aid and other certificates;
  • administer working time accounting, substitution information and other data necessary for wages;
  • contribute to the improvement of school activities - participate in the implementation of new work organization solutions, contribute to digitalization.

Requirements:

  • higher education or equivalent
  • experience in document management, personnel administration or activity organization, clerical knowledge;
  • ability to plan, organize and prioritize work;
  • responsibility, diligence and high work culture;
  • ability to work independently and coordinate the implementation of several processes simultaneously;
  • excellent skills in working in the Microsoft 365 environment, ability to easily master new information systems;
  • strong analytical and communication skills;
  • ability to work with sensitive information, in compliance with confidentiality and GDPR requirements;
  • work experience in the field of education would be considered an advantage.
