Nature of work

CEO's right hand in administration, processes and business coordination

Mission

To create a system in which administrative, document, coordination and organizational processes would run smoothly, and the CEO could focus on the company's growth, strategy and sales.

Administration and finance coordination

  • Coordinate work with an external accounting firm.
  • Ensure timely submission of documents and information to accounting.
  • Control compliance with administrative and financial deadlines.
  • Monitor the order of debts, payments and financial documents.
  • Ensure that administrative processes are carried out accurately and on time.

Process management and improvement

  • Manage registrations, insurances, leasing documents and other administrative processes.
  • Ensure order in the Odoo system and administrative processes.
  • Initiate process improvements and implement solutions that would increase the company's efficiency.
  • Identify problem areas and propose solutions.

Team coordination

  • Lead the administration team.
  • Ensure that the administration team works according to established processes and deadlines.
  • Coordinate administrative issues between sales, service and rental departments.
  • Help different departments cooperate effectively.

CEO support

  • Resolve more complex customer situations and coordinate their resolution.
  • Prepare information for CEO and management meetings.
  • Ensure control over the implementation of decisions made.
  • Take over administrative and organizational issues so that they do not reach the CEO, if they can be resolved at this level.

After a year in this job, you will have achieved

  • The CEO no longer solves daily administrative and coordination issues.
  • The administration team works according to clear processes and takes responsibility for their areas.
  • Accounting and document processes are carried out on time and without constant control.
  • Customer escalations are resolved quickly, professionally and independently.
  • Processes within the company are clear, standardized and continuously improved.
  • The CEO can devote most of his time to strategy, growth, sales and company development.

Employee requirements

  • At least 3 years of work experience in administration, business coordination, project management or similar field.
  • Higher education (preferably in management, business administration, economics, law or another related field).
  • Ability to independently plan work, make decisions and take responsibility for the result.
  • Ability to work independently - not waiting for instructions, but to notice problems, propose solutions and take the initiative to implement them.
  • Excellent organizational, planning and priority management skills.
  • Ability to coordinate several projects simultaneously and work effectively in a dynamic environment.
  • Analytical thinking and the ability to quickly identify problems and propose solutions.
  • Excellent communication, negotiation and conflict management skills.
  • Experience working with ERP systems (Odoo would be a great advantage).
  • Excellent knowledge of the Lithuanian language.
  • Good knowledge of English, both spoken and written.
  • Good knowledge of Russian, both spoken and written.
  • Category B driver's license.
